Review the decisions behind the reply
A grammatically perfect message can still promise an unavailable custom request, use the wrong name or ignore a refusal. Review accuracy, tone, context, disclosure, pricing and boundaries as separate criteria.
The suggested rubric below is an operating framework, not a published historical Bambi score. Agree its weighting with your account lead before using it to evaluate a launch.
| Review area | What passing looks like |
|---|---|
| Persona | Approved vocabulary, no invented biographical facts |
| Context | Previous purchases and unresolved requests acknowledged |
| Offer accuracy | Content, price and delivery described truthfully |
| Boundaries | No pressure after a refusal; unclear requests escalated |
| Disclosure | No false claim that an operator is the creator |
| Handover | Next action and owner recorded |
Sample across shifts and conversation types
Review ordinary replies alongside sales, complaints and escalations. A sample drawn only from high-revenue threads hides mistakes elsewhere. Include new operators and shift handovers so the review catches training gaps.
Track issues with the conversation reference, category, reviewer, corrective action and completion date. Keep private fan data inside the authorized system; a weekly summary rarely needs full transcripts.
Discuss your requirementsA coverage promise is not a response-time SLA
24/7 coverage describes staffed hours. A response-time SLA defines the clock, percentile, exceptions and remedy. We do not publish an invented “reply within two minutes” guarantee.
Measure the time from an eligible incoming message to the first substantive reply, not an automated greeting. Separate scheduled coverage gaps, creator-held threads and platform outages. Report the median and a high percentile so averages do not hide a long queue.
See the shift handover processCorrect mistakes without burying them
Pause the affected offer or thread, assign an owner and check whether other fans received the same message. Tell the creator what happened and agree a correction. Refund and platform-support decisions must follow the platform rules and the account owner’s authority.
Then update the content reference or voice guide, coach the operator and sample the next relevant conversations. Repeated issues should trigger a scope or staffing review.
