THE HANDOVER, WITHOUT THE GUESSWORK

A team that learns your voice before it touches your inbox.

Chat management starts with a review of your inbox, content and boundaries. You approve a voice guide and sample replies before operators go live. We then agree coverage, escalation and reporting, start with supervised shifts, and use conversation reviews to refine the service while you retain account control.

01 / Start with the account you actually have

An inbox with many first-time subscribers needs a different queue plan from one built around repeat buyers. Review the platform, active fan count, message volume by hour, existing offers and content availability before choosing coverage.

The first call establishes what you want to hand over and what stays personal. Record how you want the team described to fans, which conversations must come back to you, and who can authorize an exception. No password is needed to discuss fit.

  • Inventory approved media and record what each offer contains.
  • Separate creator replies, broadcast campaigns and operator replies in the baseline.
  • Agree the reporting timezone, currency and treatment of fees and refunds.

02 / Put your voice and limits in writing

A useful persona document contains vocabulary, greeting style, punctuation, humor, typical reply length and examples of language you would never use. It also records facts operators may share and subjects that remain private.

Approve practice replies for an everyday greeting, a dissatisfied fan, a request outside your boundaries and a question about team involvement. Correct the reasoning as well as the wording. A phrase library supports judgement; it does not replace it.

03 / Agree coverage and launch carefully

Bambi offers 24/7 coverage. Your agreement should confirm the actual rota, backup contact, supported languages and any planned gaps. A coverage window is different from a guaranteed response time; a numeric SLA must be written into the scope.

During the supervised launch, the account lead reviews boundary-sensitive conversations and pricing decisions. Expand the queue only when access, voice and escalation checks pass.

04 / Review a week, not one lucky sale

Weekly reporting should connect message volume, first-response time, PPV unlock rate, revenue per active fan and rebill rate. Use consistent denominators and show refunds, traffic changes and content launches alongside the figures.

A change log records what was tested and what happened. If a campaign increased sales but also complaints or unsubscribes, that belongs in the report.

Questions & answers

How long does onboarding take?

Timing depends on access, the size of your content library and how quickly you approve the voice guide. Agree a start date after those checks; there is no published universal onboarding guarantee.
