Define where your team stops and ours starts
The agency owns its client communication, commercial promises and content approvals. The chat lead owns the agreed operator workflow. Name one decision-maker on each side so an urgent request does not sit between two inboxes.
White-label describes how the service is presented to your client. It does not remove the creator’s need to know who has account access or justify misleading fans about team replies.
| Agree before launch | Why it matters |
|---|---|
| Creator authorization | Your contract cannot substitute for the account owner’s approval |
| Per-account permissions | An operator should only access the accounts and tools they need |
| Named escalation contacts | Safety, access and offer mistakes need an accountable owner |
| Client and data boundaries | Confirm non-solicitation, confidentiality and permitted data use |
| Notice and offboarding | End access, transfer open work and settle fees cleanly |
Scope a pilot around a real queue
Choose an account with enough activity to observe handovers and reporting. Share anonymized volumes by hour, language requirements, content cadence and the current response-time distribution. Do not send private fan chats through the inquiry form.
Define the pilot period, coverage windows, review checkpoints and exit conditions. A pilot needs the same boundary controls as a larger rollout.
Review the quality frameworkReports your account managers can use
Break reporting down by creator, shift and campaign without exposing unrelated accounts. Include backlog, response-time percentiles, completed escalations, net chat sales and refund context. Avoid rewarding operators solely for gross sales.
If your CRM is involved, agree who can export records, the permitted fields and the deletion process. Cross-account access should be reviewed when staff change.
